Every staffing COO I know has been asked the same question by their board at some point: “If we outsource part of recruitment, what do we actually get back?” The honest answer is time. But time only matters if you know where it’s going now and what you’ll do with it once it’s freed up. Most firms skip both steps and then wonder why the savings never reach the P&L.

Ask a recruiter what they do all day and they’ll say “recruit.” Watch them for a week and you’ll see something else. A large share of their day goes to formatting resumes, chasing references, updating the ATS, booking interviews, checking compliance documents and searching job boards for candidates who looked right on paper. None of this is pointless. It’s just a poor use of the most expensive and most commercially valuable person in your building.
That’s the real recruitment workload problem. You hired people to build relationships and close deals, and the system you’ve built around them keeps pulling them back into recruitment administration.
A simple test works well here: if a task doesn’t need a relationship to get it done, someone else can do it. That puts the following firmly in scope for offshore recruitment support:
What stays in-house is anything a client or candidate would feel if it changed: the intake call, the offer conversation, the difficult negotiation and the account relationship. Firms that get this split right see recruiters stop drowning and start selling.

Outsourcing doesn’t save time by working faster. It saves time by working at the right moment, while your team is asleep. An offshore team sourcing and screening overnight means your recruiters start the day with a qualified shortlist instead of an empty search bar. Over a quarter, that shift does more for time-to-fill and recruitment turnaround time than any number of pipeline reviews.
The less obvious benefit is focus. A recruiter who switches between admin and client work a dozen times a day isn’t doing either job well. Take the admin away and you get back far more than the hours it used to take.
Here’s where I’ll stick to what we’ve actually measured. Across QX client engagements:
Your number will be different, and anyone who quotes you a figure before seeing your workflow is guessing. What drives it is your mix of roles, how much of your process is documented, and whether your recruiters actually move the freed-up hours into revenue-generating work.
Keep the recruitment outsourcing ROI calculation simple enough to defend in a board meeting:
Most firms stop after step three and call it cost savings. Step four is where the real return is, because it measures recruiter productivity in placements, not in hours.

Cost savings show up on your expense line, and QX clients have seen 40–60% savings compared with in-house delivery. Time savings only show up as revenue if you redeploy them. If you free up a recruiter’s afternoon and it gets spent in one more internal meeting, you’ve saved money and gained nothing. The firms that win use the recovered capacity to take on more vacancies, open new accounts or move into a vertical they couldn’t staff before.
Start with the tasks that cause the most complaints, are the most repetitive and are the easiest to document. If your team groans about a task, does it the same way every time and could explain it to a new hire in an hour, it’s a strong candidate. Start small, measure carefully, and expand once the numbers hold up.
With more than 20 years in the sector and over 3,000 offshore specialists, QX Global Group provides offshore recruitment support across front, middle and back-office operations. Our teams work inside your existing tech stack and to your KPIs, so your recruiters keep the relationships and get their time back.
Outsourcing doesn’t replace good recruiters. It finally lets them do the job you’re paying them for. The firms getting ahead aren’t hiring more people. They’re putting the people they already have in the right seats.
Sourcing, screening, interview scheduling, compliance checks and ATS updates usually take up most of a recruiter’s non-selling time.
Yes. With sourcing and admin handled by someone else, recruiters can carry more live roles without the quality of their work slipping.
Compare placements, submittals and gross margin per recruiter before and after outsourcing, not just the hours saved.
The main factors are your role mix and volume, how well your processes are documented, how well your systems connect, and how you redeploy the time you get back.
Yes. An offshore team can scale up for new contracts without adding permanent headcount.
Look at how clearly each process is defined, what data security is in place, how much visibility you’ll have through shared reporting, and whether the partner has experience in your sector.
QX brings proven results, including time-to-hire cut by up to 30% and 40–60% cost savings, plus sector-trained teams that integrate with your existing workflows.
