About QX Mission Kaizen

 

The implementation of “Kaizen” at QX by the department of Quality and Business Excellence (QBX) has been branded by the term “QX Mission Kaizen – Power of 1000 minds” introduced in September 2020.

Six Sigma Green and Black Belt professionals lead this initiative and defined the policy and processes to execute and manage QX Mission Kaizen. Through this initiative, we look for opportunities for improvement which translate into time, effort, accuracy, and cost savings for QX and our clients.

Payroll Reports

Concern:
Generating various reports from payroll software while running final payroll was time-consuming and employees had to sit idle while the reports were running.

Kaizen:
Automated the report generation activity with the help of QX Software team, to run the reports in the background.

Results of Kaizen:
Reduction in TAT by 95% and saved approx. 72 hours per month.

Pay Slip Calculator

Concern:
The team receives Income tax, National Insurance and Pension pay-related queries through calls and emails which consumes a lot of time to resolve manually.

Kaizen:
Prepared advanced excel based calculator where the team only has to input the required basic information while everything gets calculated automatically.

Results of Kaizen:
Reduction in TAT by 88%, saved approx. 65 hours per month and improved accuracy.

Accounts Finalisation

Concern:
Manually preparing three CSVs (ETL, TTL & JNL) for accounts finalisation and then uploading them to the software consumes a lot of time and is prone to errors.

Kaizen:
Automated the process of preparing CSVs using Excel Macro.

Results of Kaizen:
Saved 275 hours monthly and improved accuracy.

Concern:
When booking staff hours each pay break-up needs to be done manually. There is a high risk of error in this process which could result in a penalty to the client and the organisation.

Kaizen:
Excel template with color coding to identify incorrect break-up of candidate’s pay.

Results of Kaizen:
100% elimination of human errors.
